Registration, Invoice, Payment

  • Am I registered?
    You may check your registration status on your dashboard: https://app.oxfordabstracts.com/dashboard/events/5099. See example below.
    If no ‘Registration’ is visible on your dashboard, it means that you are not registered. Registration and abstract submission are independent of each other. It is possible that you are not registered even if you submitted an abstract.
  • How do I register?
    To register for the IAU GA 2024, please click on NEW REGISTRATION on this page https://astronomy2024.org/registration/, complete the form, and proceed to payment. 
  • How do I pay? What are the payment options?
    At the end of the registration form, you will have the option to pay by card or paypal, or choose “Offline payment” to receive an invoice and pay via bank transfer. You may also pay via card on the Payfast system (in South African Rands ZAR). Email registrations@astronomy2024.org to request your invoice in ZAR.

  • I registered a while ago, how do I complete payment?
    You can always go to your dashboard https://app.oxfordabstracts.com/dashboard/events/5099 to pay your registration. Select “Make Payment”, and proceed to pay with card or via bank transfer. You may also purchase any add-ons such as Gala Dinner or Accompanying person tickets.
  • I want to change my registration (remove gala dinner or accompanying person or other)
    Please email us at registrations@astronomy2024.org and we will edit your registration. Note that it will take a few days to make the change as it needs to go through our backend team.
  • I paid my registration but it shows as outstanding on my dashboard
    Please email the proof of payment to finance@astronomy2024.org and we will follow up immediately. Note that it typically takes a week or so to process bank transfers.
  • I need my institution details (or other information) on the invoice
    Please email registrations@astronomy2024.org and we will issue an updated invoice.
  • I need an invoice in ZAR
    Please email registrations@astronomy2024.org and we will issue a ZAR invoice.
  • Can I bring my child to the conference?
    IAU GA 2024 offers free childcare facilities at the conference venue in Cape Town. To allow access to the conference venue, the child should be registered as an accompanying child during registration. Once registration is complete, please fill this form with your child’s details. https://astronomy2024.org/childcare/ 

Grants

  • I received a registration waiver but my registration still has an outstanding payment on the system
    Participants who received a registration waiver will have their registration marked as PAID on the system. Please allow us a couple of weeks until early July to complete this process for all waiver recipients.
  • I received a registration waiver. What should I do next?
    You need to accept your waiver or grant by completing the online form linked in your acceptance email. Then, complete the registration form if you have not done so already. On the last page of the registration form, please choose “Offline payment” to complete the process. https://astronomy2024.org/registration/ 

Programme

  • I have an Oral Presentation or Poster at the conference. When is my presentation scheduled?
    The SOCs are currently putting together the detailed programme and we expect to share it with participants soon. The programme overview is available at https://astronomy2024.org/programme/.
  • How much time will I be given for my oral presentation?
    The detailed programme and instructions for presenters will be shared soon.
  • Can I present my talk or poster virtually?
    Yes, the IAU GA 2024 will be fully hybrid, and the oral presentations as well as posters can be presented virtually and in-person.

Visa

Travel and Accommodation

  • Do you have hotel recommendations?

  • Is there budget accommodation available?
    If you prefer to book accommodation yourself, a list of hotels is available at https://astronomy2024.org/accommodation-in-cape-town/.
  • How do I get to the hotel from the airport?
    You may book an airport transfer through our travel partner https://astronomy2024.org/where-to-stay-in-cape-town/.
    You may also use ride-hailing apps such as Uber or Bolt or book a traditional taxi at one of the taxi kiosks at the airport. 
  • What is the health policy for the meeting?
    There are no requirements in South Africa for people to wear masks at events such as this. However, we rely on participants to use their own judgment in terms of risk (this is a large international meeting after all). We therefore request that any participant who is unwell or suspects that they may have been exposed to an infectious disease such as COVID, to please take the necessary precautions such as maintaining your distance and/or wearing a mask.
